Definition

Resume parsing is the automatic extraction of information from a resume, such as contact details, work history, skills and certifications, into the fields of a candidate record. It saves recruiters from retyping resumes and makes every candidate searchable by what their resume says.

How does a resume parser work?

It reads the file, finds the sections and maps what it finds to fields. Older parsers rely on rules and keywords, which is why unusual layouts trip them up. AI-based parsers read the resume more like a person does, using context to tell a job title from a company name.

  1. 1
    Read the file

The parser opens the resume and extracts its text.

  2. 2
    Find the sections

It identifies contact details, work history, education, skills and certifications.

  3. 3
    Map to fields

Each item lands in the matching field of the candidate record.

  4. 4
    Review

A recruiter checks the record and fixes anything the parser missed.

Why resume parsing matters at volume

Parsed resumes are what make a talent pool searchable. A staffing agency may receive hundreds of applications a week and place the same people for years. If resumes stay as attachments, the only way to find a forklift-certified candidate is to open files one at a time.

  • Less retyping. Recruiters stop copying details from a document into a profile.
  • Searchable skills and certifications. Candidates can be found by the details in their resume, months later.
  • Faster first contact. With the record already filled in, a recruiter can reply sooner.

What can go wrong

  • Unusual layouts. Columns, tables and graphics can scramble the order of information.
  • Missing dates or titles. A resume that leaves them out produces a thin record.
  • No review. Parsed data is a draft. Someone should check it before it drives decisions.

Bottom line: resume parsing does the typing, not the judging. Let it fill the record, and let a recruiter decide.

How NextCrew fits

In NextCrew, AI resume parsing by CrewPilot AI reads a resume dropped onto a profile and fills in contact details, skills, experience, certifications and work history. Recruiters can also ask questions about a resume in plain language. See the ATS for staffing agencies page.
