In staffing, dispatch is the act of sending a confirmed Crew Member to a client's job: telling them where to go, when to arrive and what to bring, and recording who was sent where. The term is most common in day labor and light industrial staffing, where many Crew Members are sent out each morning.
How does dispatch work in a staffing agency?
Two models: the morning queue and the phone. In a traditional day labor branch, Crew Members arrive early, sign in, and the dispatcher sends them to jobs in order. In app-based staffing, the same steps happen on a phone: the job is offered, accepted, confirmed and the details are sent, without anyone waiting in a branch.
| Branch dispatch | App-based dispatch | |
|---|---|---|
| Who is sent | Whoever is in the branch and qualified | Whoever accepts and is confirmed |
| How details are given | Verbally or on a paper ticket | In the app, with the address and a map |
| Record of who went where | The dispatch log | The job record and clock-in |
| Main risk | Mistakes in a rushed queue | Confirmations nobody follows up |
What a good dispatch includes
- The right person, with the skills, certifications and licenses the job requires, checked before they are sent.
- Complete details: address, start time, on-site contact, parking and dress code.
- A confirmation the Crew Member gives, not one the agency assumes.
- A record of who was sent where, which later feeds timesheets, billing and any client dispute.
Where dispatch goes wrong
- Sending the first person available instead of the right one for the job.
- Checking credentials from memory. Expiry dates should be visible on the record before anyone is sent.
- Changes that never reach the Crew Member. A new start time or entrance has to be resent, not mentioned once.
- Ignoring DNRs. Sending someone a client has asked not to see again damages the account.
Bottom line: dispatch is where the plan meets the job site. The details sent and the record kept decide whether the day runs on time.
How NextCrew fits
In NextCrew, confirming a Crew Member notifies them instantly by email, text and push, they acknowledge in the app, and any change to the time, address or details is sent to everyone assigned. Each Crew Member opens the job location with one tap for directions. Credential records keep every expiry visible across the pool and flag what is lapsing well ahead.
