New Crew Members and every approved timesheet move from NextCrew into Paychex — so payroll runs on the numbers your team already checked, and nobody keys them in a second time.

What Is Paychex — And Why Does It Matter?
Paychex runs payroll and the tax filing that goes with it, along with HR, benefits and time tracking. Agencies use it because it is established, it files their taxes, and it already has their people in it.
That last part is the problem this integration solves. Staffing pay changes every week — different clients, different rates, different hours — and all of it starts in the schedule and the timesheet, not in payroll. Without an integration, somebody reads approved hours out of one system and keys them into another every pay period. Every keystroke is a chance to pay a Crew Member the wrong amount, and the person who finds the mistake is usually the Crew Member.
Why Agencies Connect NextCrew And Paychex
You Don't Have to Leave Paychex
Changing payroll providers is a project nobody wants and a risk nobody needs. NextCrew works with the Paychex account you already have — same tax setup, same filing, same people. What changes is scheduling, time and approvals. Payroll stays where it is.
Nothing Reaches Payroll Unapproved
Hours only move once a timesheet has been approved in NextCrew. Payroll becomes a review of numbers somebody already checked, rather than the first time anyone looks at them — and when a Crew Member queries a pay run, the approval behind it is one click away.
From Registration to Payday
A Crew Member registers
Their record is created in NextCrew and goes across to Paychex, matched to their Paychex ID rather than to their name.
They work the shift
Hours are captured in NextCrew, at the rate that applies to that job and that client.
The timesheet is approved
Nothing moves toward payroll until somebody signs it off.
Payroll runs in Paychex
Approved hours are brought into Paychex at the start of the pay period, already shaped for it. Minutes, not an afternoon.
