CLIENT-APPROVED TALENT POOLS

Available Isn't The Same As Right. You Know The Difference.

Every platform promises to find the match. You already know it doesn't work that way. NextCrew keeps each client's approved talent pool on the client record — not in one coordinator's head.

WHY POOLS EXIST

Your Roster Is Not Your Pool. And The Gap Is Bigger Than You Think.

Every staffing agency has this gap. For any given client, the Crew who can actually work there are a fraction of the people on your books — and which fraction is a fact nobody has written down. That is the job talent pool software for staffing agencies is supposed to do, and most of it doesn't.

Industrial

Hospitality

Events

Bars are illustrative of the shape, not measured data. The ratio differs by client and vertical.

THE PART NO FILTER HOLDS

What The Filter Can't See

Skill, distance, availability and credentials get you a shortlist of who is free. Everything that decides whether the placement actually works is somewhere else entirely.

Your coordinator knows all of it.

None of it is in a filter — it's in their head, on their phone, in a spreadsheet nobody else opens.

That the site manager is abrasive, and three of your Crew genuinely don't mind.

That the client's own staff stopped introducing themselves, so they want the same faces back.

That she's qualified for that unit on paper and was miserable there.

That the warehouse runs hot, and you know exactly who holds that pace.

So write it down

Put it on the Crew Member and the client — notes, tags, ratings, who's approved where and why — and it becomes your agency's memory rather than one person's.

The knowledge stays when the person leaves.

WHAT MAKES US DIFFERENT

Your Judgement, Written Down

A talent pool isn't a database query. It's a decision your team makes about a specific client — and it should outlast whoever made it.

We don't claim to know your clients better than you do

The pool is set by your team, not inferred by a model and not edited by the client. Their ratings are an input — the decision is yours. The system's job is to apply it consistently, keep it visible to every coordinator in every branch, and make sure it is still there after the person who made it has moved on.

The pool belongs to the client, not the platform

The same Crew Member is approved for one client and DNR for another, on one profile, at the same time. Every relationship a Crew Member has with your client base lives in one place instead of across four spreadsheets.

The pool decides who ever sees the shift

Job privacy is the control, not a sort order. Set a job to Private and it is listed nowhere — it reaches the Crew you invite from that client's approved pool, and nobody else on your roster knows it existed.

The rate can live on the relationship

Your regulars at an account are often not on the standard rate. A custom pay rate can sit on an approved Crew Member for that client, alongside the client's own rate configuration, so nobody re-keys it on every order.

HOW IT WORKS

One Pool. Three People Who Rely On It.

The coordinator sets it, the client works inside it, the Crew Member benefits from it. Nobody has to ask who's been there before.

Step one

The coordinator

Opens the client and the pool is already there

Sees who's approved for that client and why, sets the job to Private, and invites from that pool. No need for three years of history to fill your biggest account.

Step two

The client

Confirms from their bench, and rates who they get

Reviews and confirms Crew from the pool you approved for them, then rates each Crew Member when they approve the hours. Those ratings are how they tell you who to add next — without ever editing the pool themselves.

Step three

The Crew Member

Gets the shift because they're right for that site

Sees it in the app, accepts, and arrives with the client's own policies and site instructions already on their phone.

FUNCTIONS TARGETING PAIN POINTS

Pool Problems. Pool Solutions.

Each card leads with what breaks today — and what changes when the pool lives on the client record.

01

Problem

The list of who's right for that client lives in one coordinator's head

Solution

Approved Crew on the client record

Every client carries its own approved pool, with a note explaining each addition. Anyone on your team can see who is cleared and why, without asking the person who set it up.

02

Problem

Someone is right for one client and barred from another

Solution

Approved and DNR are client-level

Both live on the client rather than the Crew Member, so one profile carries every relationship it has. DNR is respected automatically when offers go out and when matching runs.

03

Problem

Anyone on the roster could see a restricted client's shift

Solution

Job privacy: Private, My Crew, Verified

Private is invite-only and listed nowhere. My Crew reaches your matching internal pool. Verified reaches credentialed Crew only.

04

Problem

Nobody knows whose credentials are close to lapsing

Solution

Every expiry visible across the pool

Licences and certifications are stored with their expiry dates and flagged well ahead, so a lapse is something you handle next month rather than discover on the morning of a shift.

05

Problem

The client asks for the same crew as last time

Solution

The approved pool as an invite filter

Filter the invite list to that client's own people — including the Crew that client has rated highly — then stack distance and position on top and send. Seconds instead of a scroll back through past jobs.

06

Problem

The regulars have a different rate and it gets re-keyed

Solution

A custom pay rate per approved Crew Member

Set the rate on the relationship when you add someone to a client's pool. It travels with them onto that client's jobs, alongside the client's own rate configuration.

WITHOUT VS. WITH NEXTCREW

The Before And After — Client By Client.

Not abstract process improvements. Four moments a coordinator recognises immediately.

A new coordinator's first week

WITHOUT NEXTCREW

They can't fill for your biggest account without interrupting someone who has been there for years — and that person is on a client call.

WITH NEXTCREW

They open the client and the approved pool is already there, with the reason each person is on it. They fill it on day three.

The 6am call-out

WITHOUT NEXTCREW

Texting whoever comes to mind and hoping they have worked that site before — then finding out at the door that they haven't.

WITH NEXTCREW

The invite goes only to Crew already approved for that client, and the backfill starts before the office opens.

"Can you send the same crew as last time?"

WITHOUT NEXTCREW

Scrolling back through past jobs to reconstruct who was actually there, and calling them one at a time to check.

WITH NEXTCREW

Their own bench, filtered, in one click — and with portal access the client picks from it themselves.

The coordinator who knew the pool resigns

WITHOUT NEXTCREW

Years of client knowledge leave in a two-week notice period, and every account they touched gets harder to fill.

WITH NEXTCREW

It was on the client record the whole time. The knowledge stays when the person leaves.

Your Pool, Ready Before You Need It. Without Anything Deciding Who's In It.

Powered by CrewPilot AI — Compliance AI

Compliance AI watches the pool. It never picks who's in it.

Your team decides who is approved for a client. Compliance AI's job is to make sure that pool is still usable on the morning you need it — reading credential status across everyone in it, working out which upcoming shifts are exposed, and putting the whole picture in front of a coordinator while there is still time to act.

The Pool Is What Makes The Rest Safe To Switch On.

People arrive through onboarding. The client record holds the relationship. The pool sets the boundary — and everything downstream stays inside it.

HOW DO YOU KNOW IT'S WORKING?

The Metrics That Tell You Your Client Pools Are Healthy

NextCrew surfaces these in real time — no report needed. Benchmark targets are still being sourced and are deliberately not shown.

Repeat-Crew

How far ahead of a shift a lapse is surfaced across the pool.

COST OF INACTION

What An Unrecorded Pool Costs You

Client knowledge that isn't written down still gets used — it just gets used by one person, on their schedule, until they leave. None of this shows up as a line item, which is exactly why it runs for years.

A Crew Member who wasn't cleared gets sent, and the client sends them home. You eat the hours, re-fill the shift, and spend the rest of the week repairing it.

Shifts go out to the whole roster because nobody is sure who's approved, so the fill takes longer and the people who know the site never see it.

Your best coordinator becomes a single point of failure on your biggest accounts — and everyone knows it, including them.

A new hire takes months to become useful on the accounts that matter, because the thing they need to learn was never written down.

You re-orient people you already oriented, because there's no record that they were.

The client asks for the same faces and you can't answer quickly — which is the moment they start wondering how well you actually know their site.

And when that coordinator resigns, all of it walks out inside a two-week notice period.

FAQs

Everything Agencies Ask About Client Pools.

Your roster is everyone you have. A client-approved talent pool is the shorter list of Crew who can actually work at one specific client — because they have been oriented, inducted, trained on that property, or simply because the client asked for them. The pool lives on that client's record, so it is visible to your whole team rather than to whoever set it up.

You do. Your team adds Crew to a client's approved pool and records why. NextCrew does not infer it and does not override it — the system's job is to apply your decision consistently, keep it visible to everyone, and make sure it is still there after the person who made it has moved on.

Yes. Both settings are stored at client level, on one Crew profile, so a Crew Member can be a regular at one account and marked Do Not Return at another at the same time. You can also attach a custom pay rate to an approved relationship.

The control is on who is offered the work. Set a job to Private and it is invite-only — it appears nowhere and reaches only the Crew you invite from that client's approved pool. Verified restricts a job to credentialed Crew. DNR is respected when offers are sent. What the platform does not do is act as a final block at dispatch, so the discipline still sits with your team — the system makes sure the shift only reaches the people you cleared.

NextCrew keeps every expiry visible across the pool and flags what is lapsing well ahead, so you can renew it or line up a backup from the same pool before it affects a shift. Certification and licence types can also require a document to be attached before the record can be saved.

Yes. A custom pay rate can be set when you add a Crew Member to a client's approved pool, and it sits alongside the client's own rate configuration, which already flows automatically into every job order for that client.

Your team owns the pool — clients don't edit it. What they do is rate the Crew Members they get, at the moment they approve the hours. Those ratings come back to you as a standing signal about who is working out at that site, and you decide what to do with them: add someone to the approved pool, leave them out, or mark them DNR. The client tells you what they think; the judgement stays yours.

Healthcare is where the gate is strictest — a nurse oriented to one unit is not automatically able to work another. But the same shape exists everywhere: site safety induction in industrial, property and system training in hospitality, brand training in events. In every case the list of Crew who can work at a given client is shorter than your roster, and worth writing down.
